As the leading provider of first-run filmed entertainment in its markets, Minneapolis-based CineMagic Theaters appreciates that speed and good organization are keys to remaining successful. However many of its administrative employees are located in places other than the central office. Bryan Sieve, CineMagic’s senior vice president of finance explained because of the decentralized working environment, “The use of technology is absolutely critical in allowing this administrative structure to operate efficiently and productively.”
Sieve was optimistic when he found PaperSavePlus Premium, but still had reservations. “What happens if all of a sudden all our e-documents just disappeared? What happens if the files get corrupted? We also had concerns with the resistance of our employees as they moved from paper to paperless.”
But after the training period passed, Sieve said he and his company bought in: “The program is pretty easy to use and, even with a more complicated administrative environment, PaperSave was easily tweaked to work within our environment. Many began to see the benefits and convenience of online document access and now feel it improves their productivity and makes their jobs easier.”
One employee commented he was happy documents were no longer lost or misplaced. Additionally Sieve noted that using PaperSavePlus Premium has allowed many office protocols to run more smoothly and successfully. Using QuickBooks, all CineMagic’s HR documents are now maintained electronically. Prior to implementation, the company used the ScanLater function to convert its high-volume HR documentation to paperless.
Now management only needs to click a few keys to store, review or respond to any documentation. “The Workflow Queue Explorer and Approval functionality allows administrative staff to disseminate bills for approval to responsible managers regardless of location. PaperSave is also very effective in maintaining and audit trail so management can see of who approved what and when. PaperSave’s markup feature allows us to mark up documents without printing them out, a key limitation of many paperless systems,” Sieve said. And even vendors benefit from the system; they can now e-mail bills directly to CineMagic, which deposits them into PaperSave’s review queues.
Sieve said, “The need to dig through boxes is now a thing of the past.”
The cost savings and effectiveness of the software especially came to light when a trusted HR employee who also handles treasury functions recently announced she was moving. We were able to relocate her and continue her employment with literally one day downtime. We avoided the need to replace and retrain an employee, which we estimate saved the company $15,000 in lost productivity and retaining costs. Additionally we lost virtually no productivity since our networks are fully meshed,” he claimed.
Sieve is a satisfied customer. And he will undoubtedly find more uses for the software over time. He said, “We look forward to the promising enhancements and refinements PaperSave is working on to make PaperSave even more useful and effective.”
